Create your first invoice

From sign-up to a sent invoice: how to write your first invoice with Chingvoice in a few minutes.

Updated 20 October 2026

In this guide you set up your account and write your first invoice. Allow about ten minutes.

1. Enter your company details

After signing up, onboarding guides you through the essentials:

  • your business name and address
  • your tax number or VAT ID – one of them must appear on every invoice
  • your bank details (IBAN), so clients know where to pay
  • your taxation type: standard VAT or the small business scheme under § 19 UStG

You can change everything later under Settings.

2. Add a client

Open Customers and click New customer. Enter name and address. For business clients in other EU countries, add the client’s VAT ID; for public-sector clients, the Leitweg-ID.

Tip: you can also create clients directly while writing the invoice.

3. Write the invoice

  1. Click New invoice.
  2. Select the client.
  3. Add line items – description, quantity, unit, unit price and VAT rate. Save recurring services under Products.
  4. Check the invoice date and the date or period of supply.
  5. Adjust the intro and closing text if needed.

Chingvoice assigns the next sequential invoice number and calculates net, VAT and total amounts.

4. Finalise and send

While the invoice is a draft you can change anything. When everything is right, click Finalize & PDF. It then becomes immutable – corrections are made with a cancellation invoice.

The PDF is downloaded at the same time; use Send by e-mail to send the invoice. For business and public-sector clients you can also generate an e-invoice via XRechnung (XML).

5. Record the payment

When the money arrives, click Record payment on the invoice – with the full amount it becomes Paid, otherwise Partially paid. The bank CSV import can do this automatically. Open amounts are always visible in the Overview.
